How to Submit Imagery to DMA via DVIDS

Defense Media Activity is the official records manager for Department of Defense visual information. DMA ensures DoD visual history is preserved through regular transfers of visual information to the DoD Visual Information Archives and the National Archives and Records Administration. 

DoD Instruction 5040.02 establishes the framework and procedures for managing official DoD visual information and addresses responsibilities for lifecycle management, accessibility and preservation. Strategic, operational, tactical and joint-interest imagery deemed to be an official DoD record must be handled in accordance with these policies. This includes original, high-resolution versions of photos and videos posted to DoD and non-DoD web pages and social media platforms such as X, Facebook, Flickr and Instagram.

Before submitting selected files, ensure each one meets the captioning and metadata standards described in the DoW Visual Information Style Guide.

For unclassified or released visual information:

  • Submit to DMA via DVIDS, as outlined in step 3.

For Controlled Unclassified Information, unreleased or classified visual information:

Note: Refer to enclosure four of DoDI 5040.02 for a breakdown of what types of imagery do not follow the DVIDS archival process.

Log in by visiting https://www.dvidshub.net/login?redirect_to=http://www.dvidshub.net/ and entering your email and password.

Register for an account by visiting https://www.dvidshub.net/member/registration and entering your information.

When creating an account for the first time, make sure you select the appropriate account type. Military Public Affairs/Combat Camera is the most common account type for submitting imagery. Selecting this type of account will grant you access and the ability to upload to the content management system. When registering with this category, use your .mil or .gov address, as those are the only accepted email formats for this type of account.

Once logged in, select the DVIDS Direct tab to begin the submission process.

When following DoW Visual Information Style Guide guidelines, remember: 

  • Up to 2GB of imagery can be submitted through the web interface in a single session.
  • Submit only high-resolution images; low-resolution imagery is of little historical value.
  • Complete the DVIDS metadata screen for each asset.

You can upload images from your computer using web upload or SFTP upload. DVIDS also offers FileZilla to facilitate FTP/SFTP submissions. Follow the directions on the DVIDS Direct page for this option.

Alternate Methods: If your unit has a registered DVIDS account, you may transmit images via regular email or DoD SAFE, which allows for the secure transmission of up to 25 files or 8GB of data. DoD SAFE also allows the option to encrypt your files.

If you cannot access or transmit via DVIDS, please coordinate with DMA Enterprise Customer Services.
